When a member of staff reports back pain, the right chair helps, but for an employer it is only part of the answer. HSE guidance says pain or discomfort is a trigger for a fresh workstation assessment, and the chair has to be set up for that person to do any good.
The chairs above come from UK supplier feeds and all offer more adjustment than a basic task chair. The guidance below covers what to adjust, what to ask for, and where outside help and funding fit in. It is general information, not medical advice.

NHS seating guidance from Cambridge University Hospitals says backrests should support the curves of the spine, the seat should be deep enough to support the length of the thighs, and armrests, if fitted, should sit at elbow height with the shoulders relaxed. It also says feet should be flat on the floor, with a footrest if needed.
HSE's posture guidance adds a gap of 2 to 3cm between the front of the seat and the back of the knee, good lower back support from the seat back, and the top of the screen level with the eyes about an arm's length away.
Adjustable lumbar support (height or depth)

What an employer should do when someone reports pain
Under the DSE Regulations, employers must assess the workstations of staff who use screens daily for an hour or more at a time, and reassess when a user complains of pain or discomfort. HSE says software alone is not an assessment: a trained assessor should review the results and make sure problems are fixed.
For home workers, HSE says employers may need competent advice, such as from a trained DSE assessor or an occupational health professional, to decide on extra equipment, and workers cannot be charged for it.
If the person has a health condition or disability, the government's Access to Work scheme can fund specialist equipment. It does not pay for reasonable adjustments the employer is legally required to make, but it can advise on them.
Breaks and movement
No chair fixes long periods of sitting still. HSE says employers must plan DSE work so there are breaks or changes of activity, and recommends short, frequent breaks, such as 5 to 10 minutes every hour, over longer, less frequent ones. The CUH guidance advises changing position regularly.
Questions people ask
What is the best ergonomic office chairs for back pain in the UK?
On our shortlist, the Regent High Mesh Back Ergonomic Operator Chair Adjustable Arms Crab is the best overall pick at £419.58 from UK Office Direct Limited. For a tighter budget, the Fonz Heavy Duty 24 Hour Mesh Chair - Black (£216.78) is our best-value choice.
How much should I pay for ergonomic office chairs for back pain?
Most of the 320 UK listings we screened sit between £229 and £507, with a middle price of £338. Trade suppliers often show prices before VAT, so add 20% if you can't reclaim it.
Can a business reclaim VAT on ergonomic office chairs for back pain?
A VAT-registered business can usually reclaim the VAT on equipment bought for business use, as long as it holds a valid VAT invoice from the supplier. Ask the seller for one at checkout.
Where can I buy ergonomic office chairs for back pain for a business?
The picks here come from UK Office Direct Limited. Most UK trade suppliers offer next-day delivery and VAT invoices; some offer credit accounts for regular orders.
Can Access to Work pay for an ergonomic chair?
Access to Work grants can cover specialist equipment for someone with a physical or mental health condition or disability. They do not cover reasonable adjustments the employer must make by law, so the outcome depends on the case.
Should we get an occupational health assessment before buying?
If standard adjustments have not helped, it is sensible. HSE says employers may need advice from a trained DSE assessor or occupational health professional to decide on additional equipment.
Is a footrest a legal requirement?
The DSE Regulations say a footrest must be made available to any DSE user who wishes to have one. It is often the cheapest fix for shorter staff.
Does an expensive chair guarantee less back pain?
No. Set-up matters as much as the chair, and HSE also stresses regular breaks and changes of activity. Make sure the user is shown how to adjust the chair.
