Best business hotels in New York under $250 a night

Six Manhattan hotels in Midtown and the Financial District that often come in under $250 a night midweek, plus how NYC taxes and fees add up.

New York is the hardest city in this series to do on a budget. Rates swing hard by season, and taxes and hotel fees add a lot to the headline price. Even so, there are good hotels in Midtown and the Financial District that regularly price under $250 a night on weekdays outside the busiest weeks.

The six below are close to subway lines and the main office districts. The prices come from a major booking site for early November 2026 and include its estimate of taxes and fees. Autumn and December are peak season in New York, so check live rates and book early.

The best areas to stay for business

Midtown is the main office district, from Grand Central and Park Avenue across to Times Square and Hudson Yards. Midtown East suits banks, law firms and the UN. Midtown West and the Garment District suit media firms, Hudson Yards and anyone catching trains from Penn Station.

The Financial District, at the southern tip of Manhattan, is home to Wall Street, the World Trade Center and many insurers and banks. It is quieter at night but well served by the subway.

If Manhattan is full, Long Island City in Queens is one or two subway stops from Midtown and often cheaper.

Getting from the airport

Yellow taxis charge a flat $70 between JFK and Manhattan, plus surcharges, tolls and tip. A $5 rush-hour surcharge applies from 4pm to 8pm on weekdays, and there is a congestion charge for trips into Manhattan south of 96th Street.

From Newark, taxis run on the meter plus a $20 Newark surcharge and tolls, so the train is often better value. From JFK, the AirTrain connects to the subway and Long Island Rail Road at Jamaica.

The HMRC benchmark for New York

HMRC publishes overseas scale rates that employers can use for staff travelling abroad. For New York, the room rate is $216 a night. Payments at or below the published rates are free of Income Tax and National Insurance.

It is a tax-free benchmark, not a booking cap. Employers can choose to reimburse actual costs instead. A room within the benchmark rarely draws questions from finance. In New York that is hard to hit once taxes are added, so many travellers aim for under $250 and agree the trip budget in advance.

Booking tips

  • Hotel taxes in New York City add up to a little under 15% of the room rate, plus $3.50 per room per night in flat charges.
  • Watch for resort, destination or urban fees. Since 12 May 2025, US hotels must include mandatory fees like these in the total price they advertise, but taxes can still be shown separately.
  • Breakfast is rarely included in Manhattan, except at brands like Hampton Inn. Budget for it, or pick a hotel near a good coffee shop.
  • Ask for a folio or invoice showing your company name before you check out. US hotels often issue a receipt in the guest's name by default.
  • Rates fall sharply in January and February. Autumn, December and big conference weeks are the most expensive times.

Entry rules for UK passport holders

Most British visitors need an approved ESTA or a US visa before they fly. The ESTA fee rose from $21 to $40 on 30 September 2025. It is now adjusted for inflation each US fiscal year: $40.27 from 1 January 2026, and $40.62 from 16 October 2026 (checked 27 Oct 2026 in the Federal Register). If an application is refused, only the $10.62 processing part is charged. An approval generally lasts two years or until the passport expires, whichever comes first.

US Customs and Border Protection recommends applying as soon as you start planning, ideally before buying flights. FCDO warns that an ESTA may not cover all business travel, particularly if you are travelling on behalf of a US company, so check the visit fits the Visa Waiver rules.

Your passport must be valid for the length of the stay. FCDO also says officials may inspect phones and laptops at the border, which is worth knowing for anyone carrying confidential client files.

Anyone with an arrest or criminal record, or who has visited certain countries, may not qualify for ESTA and will need to apply for a visa. FCDO says London visa appointments are limited, so start early.

Duty-of-care checklist for PAs

Most hotel lists stop at the room. If you are booking for someone else, these are the checks that protect the traveller and the company.

  • Read the FCDO travel advice for the USA before booking and again before departure. Each page has a sign-up for email alerts when the advice changes.
  • Confirm the traveller has travel insurance that covers business trips. FCDO advises that cover should include the itinerary, planned activities and expenses in an emergency.
  • Keep a copy of the itinerary, hotel address and phone number, and the traveller's emergency contact on file in the office.
  • Book a flexible or free-cancellation rate if meeting dates may move, and note the cancellation deadline in local time.
  • Ask the hotel to issue the invoice in the company's name, with the company address, and to send a copy by email at check-out for the expense claim.
  • Check the ESTA approval is still valid and linked to the passport the traveller will carry. A new passport needs a new ESTA.
